Introduction
At SINDA OIL TRADING L.L.C., we value your privacy and are committed to protecting the personal data of our website visitors, customers, and partners. This Privacy Policy explains how we collect, use, and safeguard your information when you visit www.sindaoil.ae or interact with us.
This Policy is provided for transparency and does not by itself create any contractual or employment rights or obligations.
Scope
This Policy applies to our business-to-business (B2B) activities and website interactions. It is not intended for consumer-facing services. This Policy does not cover our employees, job applicants, or contractors, which are governed by separate notices.
Data Minimization & Purpose Limitation
We collect and process only the personal data that is relevant and necessary for the purposes described in this Policy and do not use it for purposes that are incompatible with those purposes.
“personal data” means any information that identifies, relates to, or could reasonably be linked with an identified or identifiable natural person.
“controller” means the entity that determines the purposes and means of processing personal data (SINDA OIL TRADING L.L.C.).
“processing” means any operation performed on personal data (e.g., collection, storage, use, disclosure).
“UAE PDPL” means Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data.
If you provide us with personal data of third parties, you confirm that you have informed them and obtained all necessary permissions to share their data with us for the purposes described in this Policy.
We do not collect sensitive personal data via the Website, such as health information, financial account numbers, precise geolocation, biometric identifiers, or government-issued IDs.
We may also receive personal data from business partners, publicly available sources, and service providers (e.g., logistics providers, analytics vendors), where permitted by law.
Contact Information: Name, email address, phone number, company name (via forms or email).
Business Data: Purchase orders, inquiries, trade information when you engage in business with us.
Technical Data: IP address, browser type, device information, pages visited (via cookies and tags such as Google Analytics or advertising pixels, if enabled).
Accuracy of Your Data: You are responsible for ensuring that your personal data is accurate and up to date. Please notify us if your information changes.
We process personal data based on:
(a) Contractual necessity – responding to RFQs, providing quotations, fulfilling orders
(b) Legitimate interests – B2B relationship management, security, fraud prevention
(c) Consent – for non-essential cookies and marketing tracking
(d) Legal obligations – tax, compliance, sanctions/export requirements
(e) Applicable laws – including UAE PDPL, and, where relevant, international frameworks such as the EU GDPR.
Where we rely on legitimate interests, you may object to such processing at any time. We will assess your objection and cease processing unless we demonstrate compelling legitimate grounds or as otherwise required by law.
Where permitted by law, direct B2B marketing to business contacts in their professional capacity may rely on our legitimate interests; you may opt out at any time.
Responding to inquiries and providing quotations
Business communication and order fulfillment
Website analytics and performance improvement
Running marketing campaigns and measuring advertising performance
Compliance with legal and regulatory requirements
Security and fraud prevention (e.g., processing server logs and IP addresses to detect abuse), based on our legitimate interests.
De-identified & Aggregate Data: We may create and use de-identified or aggregated information for insights, reporting, or service improvement. We will not attempt to re-identify such information.
We do not use automated decision-making that produces legal or similarly significant effects on you. If this changes, we will provide meaningful information about the logic involved and the potential consequences, as required by law.
We do not sell or rent your data. We do not “sell” personal data or “share” personal data for cross-context behavioral advertising without your opt-in where required by law.
Data may be shared with:
Trusted service providers (essential hosting/infrastructure)
Regulatory authorities when legally required
Strictly necessary business partners for order fulfillment
At this time, we do not engage external processors for our core website operations beyond essential hosting/infrastructure services. If and when we appoint processors, they will act under written agreements with appropriate confidentiality and security obligations, and will process personal data only on our documented instructions (data processing agreement).
Advertising & Analytics Partners (if enabled in the future): We may share limited device/usage data (e.g., IP address, user agent, pages visited) with Google Ads (including YouTube), Meta (Facebook/Instagram), TikTok, and Google Analytics 4 for measurement and advertising purposes. These providers generally act as independent controllers for their own products and their use of data is governed by their own privacy notices. Such tags will only be activated after your explicit consent via our Cookie Preferences tool (once available and where required by law). Without consent, these tags remain blocked.
“Essential cookies” that are strictly necessary for the Website to function (e.g., load balancing, security) may be used without consent.
By default, our site does not deploy non-essential cookies or third-party pixels. If and when we enable Google Analytics 4 and advertising tags (Google Ads/YouTube, Meta Pixel, TikTok Pixel), they will remain disabled unless and until you provide explicit consent via our Cookie Preferences tool (once available and where required by law). If the Cookie Preferences tool is temporarily unavailable, non-essential tags remain disabled by default. You can withdraw consent at any time through the same tool when available. We do not respond to Do Not Track (DNT) signals due to the lack of an industry standard.
Inquiry/contact records: retained for as long as necessary, generally up to 24 months from last contact.
Orders/invoices: retained for as long as legally required, typically 5–10 years.
Analytics data: retained for as long as needed for performance measurement, usually around 13 months or until consent is withdrawn.
Retention periods may vary depending on business, legal, or compliance requirements.
We may retain certain records for longer where necessary to comply with legal obligations or to establish, exercise, or defend legal claims.
Where legal holds apply, relevant records may be preserved beyond standard retention timelines.
We implement reasonable technical and organizational measures consistent with industry standards to protect your data. However, no digital system can be guaranteed 100% secure, and we are not responsible for incidents beyond our reasonable control, to the maximum extent permitted by law. In the event of a data incident, we will assess the impact and, where required by applicable law, notify competent authorities and/or affected individuals.
Nothing in this section shall be construed as an undertaking to notify beyond what is required under applicable law.
You have the right to access, correct, delete, or restrict your data, opt-out of marketing, and request portability.
These rights may be subject to limitations under applicable laws (e.g., for record-keeping, compliance, or contractual obligations).
You may withdraw consent at any time; this will not affect the lawfulness of processing before withdrawal. You may also object to direct marketing at any time. We may retain minimal suppression records to ensure your preferences are honored.
Submit requests to: info@sindaoil.ae (subject line: “Data Request – sindaoil.ae”).
We aim to respond within 30 days, and may extend this period by up to 60 days in case of complex or high-volume requests, as permitted by applicable law. We may request reasonable information to verify your identity before fulfilling your request. We may ask you to clarify the scope of your request where necessary to process it efficiently. Where permitted by law, we may charge a reasonable fee or refuse requests that are manifestly unfounded or excessive.
We are not required to collect additional information solely to identify you if we cannot reasonably verify your identity, and we may decline your request on that basis as permitted by law.
You also have the right to lodge a complaint with the UAE Data Office or the relevant supervisory authority if you believe your data rights have been infringed.
This Website is intended for business users only and is not directed to individuals under 18. We do not knowingly collect data from minors.
Data may be processed internationally with safeguards (contractual clauses, technical security).
We may rely on Standard Contractual Clauses (SCCs) or other mechanisms recognized under UAE PDPL and international frameworks, to the extent applicable. In some cases, transfers may also be based on your explicit consent or other lawful grounds.
Hosting Location: Our hosting infrastructure may be located outside your country. Where cross-border transfers occur, we apply appropriate safeguards as described in this Section. Where appropriate and proportionate, we apply such safeguards taking into account the nature of processing and risks involved.
We may update this policy periodically. The “Last Updated” date reflects the latest version. Material changes will be announced on this page. Users are encouraged to review this page regularly to stay informed.
If this Policy is translated into other languages, the English version shall prevail in case of any inconsistency.
To the maximum extent permitted by law, we shall not be liable for any indirect, incidental, consequential, or punitive damages arising from the use of this Website, our services, or this Policy.
Our liability, if any, shall be limited to the minimum amount required by applicable law. Nothing in this Policy shall limit our liability in ways that are not permitted under applicable law.
This Policy and any dispute arising out of or in connection with it shall be governed by the laws of the United Arab Emirates, without regard to conflict of law principles. The courts of Dubai shall have exclusive jurisdiction to settle any dispute arising from or relating to this Policy.
If any provision of this Policy is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
Our Website may include embedded content (e.g., videos) from third parties. Such third parties may set cookies or collect data when content is loaded. Where required by law, such embedded content will only load after you provide consent through our Cookie Preferences tool (once available). Advertising iframes or widgets from third parties will not load unless consent is provided where required by law.
The Website may contain links to third-party sites or services. We are not responsible for the privacy practices of such third parties, and we encourage you to review their privacy notices.
This Policy is separate from, and does not modify, our Terms of Use. In case of inconsistency, the Terms of Use prevail to the extent of the inconsistency.
